Privacy Policy

Universe Estate ("the App") is a real estate lead-management and team-operations tool used internally by a real estate brokerage and its staff. This policy explains what information the App handles, how it's used, and how it's protected. It applies to the Android app and the web version, both of which connect to the same account.

The App is not a consumer app with public sign-up — every account is created by an administrator for a specific employee. If you're an employee using the App, this policy covers your account information. If you're a real estate lead/customer whose details were entered into the App by a member of the team, this policy also covers that information.

Information we collect

Employee account information — provided by an administrator when creating a login: name, a username, and a role (Admin, HR, or Team member). Sign-in itself is handled by Firebase Authentication; your password is stored and managed by Firebase (Google) and is never visible to us in plain text.

Lead (customer) information — entered by team members, or imported automatically from a connected Facebook Page if the admin enables Facebook Lead Ads sync: name, phone number, email address, property interest, lead source, notes, deal stage, estimated deal value, and a log of call/WhatsApp contact timestamps.

Attendance information — check-in and check-out timestamps recorded when an employee uses the office attendance feature, associated with that employee's account and the date.

Device notifications — the App can show on-device reminders (e.g. a follow-up due today, or a newly assigned lead). These are scheduled and shown entirely on your own device and are never sent through a third-party push notification service.

The App does not access your camera, photos, contacts, microphone, or location, and does not use advertising or third-party analytics/tracking SDKs.

How this information is used

• To let team members sign in and see the leads and attendance records relevant to their role.
• To let administrators and HR manage the team, assign leads, and review attendance.
• To help the sales team track and follow up with real estate leads.
• To optionally import new leads automatically from the brokerage's own Facebook Lead Ads forms.

Information is never sold, and is never used for advertising.

Where information is stored

All data is stored in Firebase (a Google Cloud service) using Firebase Authentication and Cloud Firestore. Access is restricted by role: team members can only see leads and attendance records tied to their own account; HR can see attendance for everyone but not leads; admins can see everything. These restrictions are enforced by the database's own security rules, not just by the app's screens.

If Facebook Lead Ads sync is enabled by an administrator, the App communicates directly with Meta's Graph API using a Page access token to retrieve new lead form submissions. That token is stored in Firestore and is only ever accessible to admin accounts.

Data retention and deletion

Lead, attendance, and account information is kept for as long as the brokerage's admin keeps it in the system. An admin can remove a lead or an employee account at any time, which removes that record going forward. To request deletion of your own account information, contact your administrator or use the contact details below.

Children's privacy

The App is a workplace tool for adult employees of a real estate brokerage and is not directed at children. It does not knowingly collect information from children.

Changes to this policy

This policy may be updated from time to time to reflect changes in the App. The "Last updated" date above will always reflect the latest revision.
